Manage and follow up on every contact captured by the bot.
What is a lead in HotelChatBook?
A lead is a potential guest who interacted with the chatbot and left at least one of these details: name, email, or phone. The bot captures this data conversationally during the chat, without forms.
Access it from: Leads in the side menu (/leads).
Leads panel
The screen shows:
- Period statistics: total leads, new leads, average score, and conversion rate
- Leads table with every captured contact
- Filters to segment the list
Information per lead

Available filters
From the filter bar you can segment the list by:
- Status: New / Contacted / Follow-up / Resolved / Converted / Lost
- Channel / Source: All / Web Chat / WhatsApp / Facebook / Instagram / Form / Phone
- Date range: customizable with a calendar picker
- Hotel: if you manage multiple properties
- Free search: by name, email, or phone
Filters apply in real time without needing to confirm.
Lead statuses — follow-up flow
Nuevo → Contactado → Seguimiento → Convertido / Perdido

| New | The bot captured the data; the team has not yet contacted the guest | Automatic on creation |
| Contacted | The team has already contacted the guest (call, email, or direct WhatsApp) | The admin manually |

| Converted | The guest made a booking | Manual or automatic if a PMS is connected |
| Lost | The opportunity did not pan out (record the reason in comments) | The admin manually |
Lead detail
Clicking a lead's row opens a side panel with:
- All captured data: name, email, phone, dates of interest
- Initial message and conversation history: full transcript of the chat that generated the lead
- Lead score (0–100) and buyer persona with an explanation
- Status change history with date and time
- Comments field: notes remain visible to the whole team
- Assigned to: select a salesperson; they receive an automatic email notification
How to change a lead's status
- Click the lead in the table
- In the detail panel, select the new status in the "Status" dropdown
- The change is recorded with date and time and applies immediately
Create a lead manually
- Click "+ New Lead" (top-right corner)
- Fill in the form with name, phone, email, and message
- Click "Create"
Export leads
- Apply the filters you want (channel, status, dates)
- Click "Export" in the top-right corner
- A file downloads with every lead visible in the filtered table (name, email, phone, channel, buyer persona, status, dates of interest, capture date)
Automatic updates
The leads list updates automatically every few seconds — there's no need to refresh the page manually to see newly captured leads.
Incomplete lead (partial data)
It's normal for some leads to have only a name without an email, or only a phone without a name. The bot captures data progressively and doesn't require all fields before responding to the guest. To get more complete leads, make sure you have completed the bot's training in AI Training.
